EGSA meeting notes October 25th, 2004, 5:20pm at E2-311 Meeting Attendees: Javier, Nathan, Sina and Cintia. AGENDA ------ 1) budget 2) Faculty & graduate student forum (that is the name of the event sponsored by National Semiconductor). 3) visits to companies on Silicon Valley 4) EGSA Rep. for Dean's Student Council 5) Cookie/tea time 6) other social events 7) SOAR registration MEETING ------- Renato came at 5pm, but he could not stay longer. Nathan Whitehead was elected the CS representative for GSA/EGSA. EGSA still needs an AMS and a BInf representative. Javier mentioned that we might be able to obtain a room for EGSA. He will make such request. Javier reported that he talked to Mike Isaacson about the budget we proposed in June, but EGSA did not receive any money from School of Engineering. There is the possibility to get apply for funds for each specific event EGSA wants to organize. EGSA will start this year Faculty/Grads Forum. Cintia suggested the Forum to be held on Fridays, but Nathan pointed out that many students commute and are not on campus on Fridays. We decided to prioritize Thursdays, but we will let it open so that the speaker can choose the most appropriate day. The first Forum will be held on November 11 or 12, 2004. Sina suggested Professor Wentai Liu to be our first speaker. He is going to invite him. Also, Sina will talk to Jodi about room reservation and catering. The second Forum will be held on December 2 or 3 (November 25 is Thanks-given weekend). About the Silicon Valley visits, Javier talked to IBM and NVDIA. Both companies provide half day visits. EGSA needs to provide the transportation. One possibility is organizing car-pool, but this can be hectic. We agreed that the best solution is to "rent" a UCSC van through SOAR (12 passenger VAN costs US$60/day), but we need funding for this. A few weeks ago, Javier, Renato and Cintia received an email from Virginia Carrillo requesting EGSA to nominate two student representatives for the Dean's Student Advisory Council. Javier mentioned that Richard also talked to him about this. Javier and Sina will be the representatives for now, while the reps are not elected. In order to start the weekly Grads gathering, also known as cookie/tea time, we need to obtain funds. We will talk to the Dean about this. Sina asked if we have an official EGSA webpage. Since last June we have the address http://egsa.soe.ucsc.edu. Cintia needs to redirect the old EGSA page (at iNRG server) to the new address. Also Javier will try to get one of his lab-mates to collaborate with the webpage design. Motion to consider the CS Grad Student Seminars an EGSA event. The motion was proposed by Nathan, seconded by Sina and approved by the Council. Sina mentioned that we should have an EGSA email account to send all EGSA related email. We all agreed. Cintia will contact the School to ask for such account. Since we need funding for transportation for the Silicon Valley visits and for the cookie/tea time, we decided to request a meeting with the Dean. In this meeting we will talk about EGSA and request funds for these two events. Cintia will contact Heidi McGough (Dean's executive assistant) to schedule the meeting. We are also considering sponsoring a Thanks-given event and a Christmas event. One possible source of funds for one of the events is GSA. We also agreed we should talk to the Dean. Further discussion about this subject was postponed to the next Council meeting. Meeting adjourned at 6:20pm.
